Information we process

The information processed depends on how your organisation uses the service. It can include:

• Account and workplace details: your name, email address, department, location, line manager and other details relevant to your organisation’s assessment process. These may be provided by you or your organisation.
• Assessment information: your workstation assessment responses, comments, completion status and associated reports, including comments and follow-up recorded by authorised managers. Responses may include information about discomfort or health where relevant to your assessment.
• Registration information: your IP address and the date and time of registration, used to help prevent misuse.
• Authentication information: the basic identity details received when you sign in using Google or Microsoft, as explained below.

Why information is used

We use information to identify users, provide access to training and assessments, record assessment results and support management reporting and follow-up. Where your organisation uses the optional email tools, account details are used to send assessment invitations and reminders.

Where your organisation arranges access, the assessment process and use of workplace information depend on its requirements and the applicable service arrangements. Your organisation can explain its purposes and lawful basis for processing your employee information; please also refer to its privacy information.

Employer and administrator access

Authorised managers and administrators within your organisation can access relevant account and assessment information to review results, identify issues and record action. Access depends on their permissions and your organisation’s configuration.

Google and Microsoft Single Sign-On

You may sign in to DSE Workstation using Google or Microsoft. Authentication provides the basic identity information required to authenticate you and associate you with your DSE Workstation account, including your name, email address and the identity provider’s account identifier.

We use these details for authentication and account association. DSE Workstation does not request access through Single Sign-On to the contents of your email, contacts, files, calendars or other unrelated services.

Storage, security and retention

The assessment service uses London-based hosting, restricted administrator access and backups to help protect information.

Personal information is retained for as long as needed for the purposes for which it is processed, taking account of applicable legal requirements and the service arrangements with your organisation. You can contact us or your organisation about the retention of your records.

Cookies and analytics

These public information pages use Google Analytics to help us understand how visitors use the website. The Google tag sends website usage information to Google and may use cookies to measure visits. This website analytics is separate from Google and Microsoft Single Sign-On.

The assessment portal uses essential cookies to support access. Blocking those cookies may prevent parts of the portal from working.

Your rights and enquiries

Depending on the circumstances and applicable data protection law, you may ask to access or correct your information, request deletion or restriction, object to processing, or request a portable copy. Where processing relies on consent, you may withdraw that consent.
